Day School Enrollment Process
Prospective parents and public school district representatives are invited to contact Shelly Fagen, Director of Student Services, regarding any questions they may have about our day school program or to schedule a tour of our school.
Typically, a student’s family and the staff at their local school district come to an agreement that a student should be referred for eligibility consideration at Birchtree’s day school. Then the district’s representative assembles a referral packet to submit to Shelly Fagen, Director of Student Services. Applications are accepted year-round.
Referral Process
A referral packet must include the following:
- A completed application form signed by the student’s parent or legal guardian
- A copy of the student’s current, signed Individualized Education Plan
- Copies of all of the student’s most recent assessments
- A copy of the student’s current Behavior Support Plan (if there is one)
- Medical documentation pertinent to the student’s health care needs in the school setting (if there is any)
- Video footage of the student, including three to five clips (at least three minutes each) of the student engaged in an educational activity, a therapy session, a leisure activity, a related arts class (e.g., art/music/library), or when they are experiencing a challenging moment
Complete referral packets are reviewed for eligibility consideration. Ensuring the best interest of each referred student, the admissions team carefully considers if the student’s educational, social-emotional, and medical needs can be met by the expert staff in our setting.
Students deemed eligible for enrollment are added to the waiting pool of other eligible candidates seeking admission.
When an opening becomes available, all students in the waiting pool are considered based on their current needs and circumstances. The sending school district is notified when we can offer placement in our specialized day school program.
